Scheduled transactions
A scheduled transaction is a transaction that CentBase records for you automatically, on a repeating schedule. It's the "set bills on autopilot" feature, for the things you pay (or receive) on a regular cadence.
TL;DR
A scheduled transaction pairs a template with a schedule. When a scheduled date arrives, CentBase creates a real transaction from the template, either automatically or after your approval, and sends you a reminder beforehand. You can pause, resume, skip, or delete the schedule without touching the transactions already posted.
How it works
A scheduled transaction is a template (the "what") paired with a schedule (the "when"). On every scheduled occurrence, CentBase creates a real transaction from the template, same amount, account, envelope, and fee if the template has one (see Transaction fees), and deducts or adds it just as if you'd typed it in yourself. Auto-post schedules do this on their own. Manual schedules wait in Needs Approval until you confirm them.
Frequencies you can set
- One time, a single future transaction, no repeats.
- Daily / Weekly / Monthly / Yearly.
- Every 2 months, Quarterly (every 3 months), Every 6 months.
- Every 2 years, Every 3 years, Every 5 years.
Saving a transaction for a future time
You don't have to build a schedule from the Scheduled screen to use one. When you save a transaction with a future date, or today's date at a time still ahead of you, CentBase offers to turn it into a schedule instead of posting it now:
- "Schedule this future transaction?", a confirmation dialog tells you when it will fire (e.g. "in 2 minutes", "in 3 days") before anything is saved.
- A one-time future transaction becomes a single-occurrence schedule that posts on its own when due. Turn off Auto-post on due date in the Schedule section if you want to approve it first.
- A recurring future transaction schedules the whole run, starting at the date and time you entered.
See Saving a transaction for a future date for the full detail.
How many times it runs
You can tell CentBase to:
- Repeat forever, keep posting indefinitely, or
- Repeat a fixed number of times, e.g. 12 monthly payments, then it finishes on its own.
The schedule tracks its progress, so you always know which occurrence it's on (e.g. "3 of 12").
When a scheduled transaction is due
CentBase watches your schedules and posts transactions that come due. On the day one posts, you get a nudge, and once posted the transaction shows up in your accounts and budget like any other.
You can also ask for an earlier heads up. Open More then Budget Health and turn on the upcoming transaction reminder, which warns you a few days before a scheduled transaction posts.
If a scheduled transaction is overdue or due today, you'll see it flagged and can post it right away if you prefer to handle it manually.
Approving a scheduled transaction
Some bills should wait for you. When you create or edit a schedule, turn off Auto-post on due date if you want to confirm each occurrence yourself. The switch also appears when you pick a future date with Recurring off, because that date creates a one-time schedule.
CentBase then leaves the schedule in Needs Approval instead of posting it.
To change what new schedules do by default, open More, then Transactions, and turn Auto-post new schedules off. The switch changes only new schedules; every existing schedule keeps its own setting.
The Needs Approval card sits at the top of the Scheduled tab. Each row shows the amount, the due date, and a Mark Paid button that posts it right away. Mark All Paid clears everything in the card at once.
Home also carries a Needs Approval row under Attention. It counts the schedules waiting for you, including the ones inside your lead time. Tap it to open a page of just those schedules. The page is locked to that window and uses the same rows and actions as the Scheduled tab, so a quick approval never changes the tab's search or filters.
To see approvals earlier, open More, then Transactions, and change Needs approval lead time. The default is On due date; the choices run up to 7 days before. The same lead time drives the Scheduled card, the Home row, and the approvals page.
Schedule states
CentBase shows where each schedule stands:
| State | Meaning |
|---|---|
| Upcoming | Active and scheduled for a future date. |
| Due today | Today is its execution date. |
| Overdue | It should have run and hasn't been executed yet. |
| Paused | You paused it, it won't run until you resume it. |
| Finished | It hit its occurrence limit, all occurrences are done. |
Where to find it: the Scheduled tab in the top bar. Each row shows Next date + occurrence count (e.g. 3 of 12).
Search and filter
The search bar at the top of Scheduled filters the list as you type. It looks through the schedule name, description, notes, split notes, and payee names, so a search for the payee finds the schedule even when the name is different.
Tap + in the search bar to add a filter. You can filter by status, funding, how often it repeats, type, Envelope, account, next execution date, amount, tags, payees, or items. Each active filter appears as a chip inside the search bar. Tap a chip to change it, or tap its x to remove it.
By default the list shows active schedules: overdue, due today, and upcoming. Add the status filter and choose Paused or Finished to see those too. The content filters (Envelope, account, type, repeats, amount, tags, payees, items, and search) also narrow the paid cards in the grid, so an Envelope chip hides paid cards outside that Envelope. Status, funding, and next execution describe the upcoming occurrence and leave the paid cards alone.
Seeing only the ones that need attention
Home flags schedules that will not clear their account. "Underfunded transaction" counts the ones that would push an account below zero, and "Credit limit exceeded" counts the ones that would push a credit card past its limit.
Tap either alert on Home and you get a page of just those schedules, with the same rows and the same "Execute now", "Edit", "Pause" and "Delete" actions as the Scheduled tab. Two things are different on purpose:
- The Scheduled tab stays where you left it. Its filter, its scroll position, and which tab you were on are all untouched, so a quick look from Home never rewrites a place you set up.
- The page is locked to the one problem. There is no search or filter bar, so the rows always match the number the alert counted. When you want the full list with every filter, open the Scheduled tab.
Fix a shortfall by funding the account or editing the schedule, and the row drops off the page on its own. When the last one clears, the page says so in those words rather than quietly widening to every schedule.
Managing schedules
From the Scheduled screen you can:
- Edit the schedule, change the frequency, occurrence count, or the underlying transaction (amount, account, envelope, and fee).
- Pause / Resume, stop or restart a schedule without deleting it.
- Execute now, post the next occurrence manually, ahead of its due date. When you tap it, you can also choose to skip a cycle instead, handy when this month doesn't need the transaction.
- Delete, remove the schedule; the transactions already posted stay in your history.
Editing a past schedule
Editing a schedule only affects future occurrences. Transactions that already posted keep their original details, so your history is never rewritten. If you want a change to apply to the current month as well, CentBase will ask you whether to update the current occurrence too.

Sample use cases
- Rent. Monthly schedule that repeats forever; a reminder lands a few days before the 1st.
- Car loan. A fixed 60-payment schedule that finishes on its own with "N of 60" progress.
- Yearly subscription. An annual renewal you'd otherwise forget, CentBase posts it and nudges you in advance.
- Skipping a month. Off on holiday, choose to skip a cycle from Execute now and it continues the month after without losing the schedule.
